A Complete Guide to Aftercare and Servicing of Fueltek’s Fuel Management Systems

Having effective and reliable fuel management doesn’t end with purchasing your system. Maintaining your fuel management system after installation is crucial to avoid unnecessary failure, downtime, or costs.

With our 12-month warranty, national coverage, and range of service contracts, Fueltek ensure your system is protected and performing as it should.

Why Aftercare Matters

By protecting your investment with fuel management system aftercare, you’re saving your business from costly breakdowns, and extending the lifespan of your equipment. Keeping on top of your fuel management servicing also ensures your monitoring stays accurate, giving the best insights to make data-driven decisions when it comes to route planning.

Regular servicing also prevents sludge, water buildup, and fuel contamination, keeping your fuel high-quality and avoiding potential engine issues. Our aftercare service means that we’ll identify any problems with your system as and when they occur, protecting staff, sites, and stored fuel from compliance or safety issues.

Step 1: Choose the Right Service Contract

We offer three levels of service contracts at Fueltek. Our most popular contract is level three since this guarantees our customers the highest level of support. We provide optional extras including out-of-hours cover and additional preventative visits, should you need.

When using our aftercare service, you’ll benefit from:

  • 8-hour response time.
  • Priority callouts.
  • No hidden charges for in-hours wear-and-tear issues.
  • Access to customer helpline & software support.

Step 2: Schedule Preventative Maintenance Visits

One discounted preventative maintenance visit per year is included.

What’s checked: pumps, tanks, sensors, and software connectivity.

Excluded items: hoses, nozzles, safety breaks, filters, priming, and mains issues.

Here’s how early problem identification compares with relying on emergency repairs:

Preventative Maintenance Emergency Repairs
Downtime Planned maintenance can be scheduled outside peak operations, minimising disruption. Unplanned downtime often halts operations, causing costly delays.
Cost Lower overall cost — small issues are fixed before they escalate. Higher costs due to urgent callouts, parts replacement, and lost productivity.
System Lifespan Regular servicing extends the life of pumps, tanks, and monitoring equipment. Neglected systems wear out faster, leading to premature replacements.
Fuel Accuracy Calibration and checks maintain precise fuel tracking and compliance. Faults can cause inaccurate data, risking HMRC or audit issues.
Safety & Compliance Early detection prevents risks like leaks, contamination, or unsafe storage. Emergency faults may create safety hazards or compliance breaches.

Step 3: Maintain Pump Calibration & Accuracy

Accurate fuel dispensing makes sure you’re getting the most out of your fuel, which is vital given its increasing cost. Regular pump calibration is an aftercare service we provide, and keeps your system precise and compliant, and protects your fuel stock.

We offer one annual pump calibration visit at a discounted rate for contract customers. Rates are:

These visits can be scheduled flexibly during the contract period, or at a pre-agreed date with a standard hourly rate applied for travel and site time.

Step 4: Benefit from Reactive Maintenance & Callouts

Even with regular preventative maintenance, occasional issues can arise that require immediate attention. Our maintenance and callout service ensures that your fuel management system is quickly restored.

  • Coverage of Normal Wear and Tear: Normal wear and tear issues are fully covered, including parts and labour, so you can be confident that common faults won’t lead to unexpected costs.
  • Callout Charges and Exceptions: Some issues, such as pump faults caused by foreign objects, blocked filters, re-priming, or electrical problems (e.g. poor mains supply), are charged at £85 per hour. Electrical site faults may also incur a callout fee of £85.
  • Rapid Response Times: We aim to address faults within 8 working hours during standard working hours (8:30 AM – 5:30 PM, Monday to Friday). Priority callouts are also offered for service contract holders.
  • Nationwide Reach: Fueltek’s reactive maintenance service is available across the UK, ensuring that no matter where your fleet or fuel site is located, expert support is just a call away.

Step 5: Software Support & Remote Assistance

Fueltek’s fuel management systems come with comprehensive software support to ensure your team can access, interpret, and act on fuel data efficiently.

Free Telephone and Remote Support
Contract customers benefit from free access to our dedicated helpline for software-related issues. Remote support means that minor problems can often be resolved immediately, without the need for an on-site visit.

Maximising the Value of Fueltek FMO
Fueltek FMO, our web-based monitoring system, provides real-time insights into fuel usage, stock levels, and vehicle refuelling. With ongoing support, your team learns how to:

  • Interpret fuel usage data for operational efficiency.
  • Identify discrepancies or unusual patterns that may indicate waste or theft.
  • Generate reports for auditing and compliance purposes.
  • Configure alerts for low stock or maintenance needs.

Out-of-Hours Assistance
For businesses that operate outside standard hours, optional out-of-hours support is available.

Step 6: Receive Training

Confidence in operating your Fueltek system is key. Training can be delivered on-site or remotely and includes:

  • Operating pumps and monitoring FMO software
  • Interpreting fuel data
  • Refresher sessions as teams or processes change
